Job Description
Job Summary:
The Recruiting Administrative Assistant is responsible for supporting the day-to-day activities of the Recruiting Team by providing top level administrative support on-site at our Irvine, CA. office.
Duties & Responsibilities:
· Assist recruiters with editing and posting employment requisitions and scheduling phone screen and onsite interviews.
· Arrange and coordinate candidate interview activities including, scheduling meetings, agenda development, candidate travel and arrival arrangements, expense reimbursement and distribution of necessary information and materials to candidates, management and HR members in preparation for interviews.
· Direct interaction with hiring managers and interview teams to arrange availability for interview scheduling·
· Assist with Recruiting Reports.
· Contact and communicate to candidates regarding interview scheduling and any changes
· Provide miscellaneous administrative support to Recruiting staff.
· Performs other duties or special projects as assigned.
Minimum & Preferred Qualifications and Experience:
Minimum Qualifications:
· Two years of experience in handling administrative, analytical, customer service and/or similar tasks.
· Excellent organizational skills and the ability to multi-task in a fast-paced environment.
· Proven ability to constantly re-prioritize workload, based upon changing demands.
· Excellent communication and interpersonal skills.
· Professional presence.
· Must demonstrate strong sense of urgency and proactive approach.
· Team player with the ability to work in a complex organization.
· Demonstrated ability to handle fast-paced, high-pressure environment.
· Strong PC skills: Word, Excel, PowerPoint, Outlook.
Preferred Qualifications:
· Prior experience with human resources, recruiting or similar areas

High School Diploma
