Order Entry Coordinator - Operations
Job Description
Pay: $20/hr.
Shift: 5:00Am to 1:30Pm Monday-Friday
Location: Irvine CA
Job Description
You will help the Irvine, CA team by entering customer orders into the company computer system.
Making sure each order is correct (price, part number, quantity, and delivery date).
You will also work with other teams so orders go out on time and with no mistakes.
What you will do
Enter and update orders
- Enter customer orders into the system every day
- Double-check prices, part numbers, quantities, and delivery dates
- Review order confirmations to make sure they are correct
- Fix problems by talking with Sales, Customer Service, or the customer
- Update orders when there are changes, cancellations, or returns
- Keep order paperwork and files neat and easy to find
- Talk with Sales and Customer Service to understand what the customer needs
- Work with Planning to make sure materials are available and dates are realistic
- Share updates if an order is delayed or changed
- Work with Shipping to confirm shipping method, carrier, and delivery needs
- Check open orders to find missing info or mistakes
- Keep customer and product info correct in the system
- Help create and send order reports when needed
- Help during busy times at the end of the month or quarter
- Look for ways to make order entry faster and reduce mistakes
- Help with special projects when needed
- Fill in for other team members when needed
- Do other tasks as assigned
What you need to know / be good at
- Strong typing and accurate data entry (required)
- Strong attention to detail (required)
- Good speaking and writing skills (required)
- Comfortable using Microsoft Office, especially Excel (required)
- Able to handle many orders in a fast-moving environment
- Able to stay organized and work on more than one task at a time
- Able to work well with Sales, Customer Service, Planning, and Shipping
- Experience with order systems like NetSuite, SAP, or Oracle is a plus
Education and experience
- High school diploma (required)
- Associate’s degree (nice to have)
- 1–3 years of experience in order entry, customer service, sales support, or office support (preferred)
Physical and work setting
- In- office
- A lot of computer and screen time
- Some walking around to get files or supplies
- May lift items up to 10–15 pounds sometimes
