Job Description
Position Details:
- Job Type: Contract to Hire
- Software: RBJ Software (preferred)
- Volume: Branch processes and closes 25–30 files per month

- Strong organizational and multitasking skills with a keen eye for detail.
- Excellent communication and customer service abilities to effectively manage client interactions.
- Ability to work collaboratively with the team and take initiative when handling tasks independently.
- Familiarity with escrow processes, including pre-closing, closing, and post-closing responsibilities.
Key Responsibilities:
Pre-Closing Duties:
- Order payoffs and final utilities for files, ensuring payoffs match title commitments.
- Manage all file requirements before closing, including liens, judgments, and bankruptcy stipulations.
- Obtain past and current tax information, ensuring current taxes are unpaid prior to closing.
- Order and follow up on HOA documents, including letters, bylaws, financials, and irrigation details.
- Collect and verify commission information for real estate agents involved in transactions.
- Prepare legal documents such as Power of Attorneys and Quit Claim Deeds as needed.
- Maintain consistent communication with the Escrow Officer to provide status updates on files.
- Assist walk-in clients and handle phone inquiries when the Escrow Officer is unavailable.
- Collaborate with other assistants and provide receptionist support as needed.
Closing Duties:
- Assist with entering lender figures and verifying accuracy.
- Print and organize closing documents.
- Prepare and disburse checks for closing.
- Fax figures and documents to lenders and Realtors to finalize transactions.
Post-Closing Duties:
- Clean out files for shipping loan packages, recordings, and following up on any money held in escrow.
- Prepare closed-out files for scanning and archiving.
