Job Title: Regulatory Compliance & Certification Specialist
Exempt and temporary role (approximately 6 months)
Salary: $70,304 to $73,000 depending on experience
Schedule: Hybrid schedule working M-F 8am to 4:30pm
Location: Vista, CA

Position Summary
The Regulatory Compliance & Certification Specialist is responsible for ensuring company-wide compliance with domestic and international regulatory requirements, third-party certifications, and labeling standards. This role supports cross-functional teams including Sales, Marketing, R&D, Quality, and Operations by providing regulatory guidance, managing certification processes, and ensuring that all products, packaging, and marketing claims meet applicable legal and industry standards.
Key Responsibilities
Regulatory Compliance & Certifications
  • Support domestic and international teams with technical inquiries, product registrations, and compliance documentation.
  • Lead the qualification and compliance process for packaging materials, ensuring all requirements and approvals are met.
  • Maintain compliance of contract manufacturers and packers with applicable domestic and international regulations.
  • Research, interpret, and communicate regulatory requirements to internal stakeholders.
  • Manage and coordinate audits, renewals, and ongoing compliance for third-party certifications, memberships, and registrations.
  • Maintain compliance databases and ensure accurate tracking of certification statuses.
  • Serve as the primary liaison with third-party certifying bodies to support new product approvals and maintain compliance of existing products.
  • Develop and improve internal systems, policies, and procedures to support regulatory compliance.
  • Lead cross-functional initiatives to ensure compliance with state, federal, and international regulations (e.g., Proposition 65).
  • Conduct compliance risk assessments and provide guidance during new product development and other business initiatives.
  • Perform administrative tasks including documentation management, filing, and regulatory submissions.
Marketing & Label Compliance
  • Evaluate product ingredients, formulas, and packaging for compliance with regulatory and third-party standards.
  • Review and approve marketing claims, labels, and packaging to ensure adherence to applicable advertising and labeling regulations.
  • Manage and communicate compliance approvals across departments.
  • Oversee the development and maintenance of claims management systems and databases.
  • Lead ingredient declaration reviews and approvals.
  • Collaborate with external regulatory experts to assess compliance risks and recommend solutions.

Cross-Functional Collaboration
This position works closely with the Operational Sustainability and Innovation (OSI) team, Regulatory Compliance Operations Manager, Quality, Production, Sales, International Marketing, Customer Service, and other internal stakeholders to ensure seamless compliance across all business operations.
Qualifications
Education & Experience
  • Bachelor’s degree in Chemistry, Food Science, or a related technical field (or equivalent combination of education and experience).
  • Minimum of 5 years of project management experience.
  • At least 5 years of experience working with third-party certification standards (e.g., USDA Organic, Non-GMO, EWG).
  • 3–5 years of experience in a compliance or quality role within a food, personal care, or similar manufacturing environment.
  • 3–5 years of experience with labeling and advertising regulations (e.g., FDA, FTC).

Knowledge, Skills & Abilities
  • Strong knowledge of regulatory frameworks including FDA, EU, and ASEAN regulations, as well as organic and ISO standards.
  • Excellent verbal and written communication skills with the ability to convey complex regulatory information clearly and effectively.
  • Strong organizational and project management skills with the ability to manage multiple priorities and deadlines.
  • Critical thinking and problem-solving abilities with a high level of accuracy and attention to detail.
  • Ability to work independently, take initiative, and proactively identify risks and solutions.
  • High level of professionalism, discretion, and confidentiality.
  • Commitment to fostering an inclusive, respectful, and collaborative work environment.
