Job Description
Position Summary
We are seeking a professional and organized Receptionist / Office Administrator to manage front desk operations and provide administrative support across multiple departments. This role is client-facing and plays a key part in creating a welcoming office environment while ensuring smooth daily operations.
Key Responsibilities Front Desk & Visitor Management

Greet and assist all visitors and employees at the front desk

Ensure the Visitor iPad is powered on daily and SwipedOn is active
-
Require all visitors to sign in and out
-
Answer incoming phone calls and route calls appropriately
-
Assist walk-up inquiries and general requests
-
Prepare coffee each morning
-
Maintain a clean, organized, and fully stocked kitchen
-
Ensure conference rooms are clean, organized, and properly stocked
-
Keep supply closets stocked and organized
-
Assign and manage employee lockers and parking spaces
-
Check, sort, and distribute mail daily
-
Run work-related errands as needed
-
Manage trade show supplies and company swag
-
Coordinate shipping of trade show materials to events and arrange return shipments
-
Research potential new trade shows and events
-
Assist with event planning in coordination with Iris
-
Manage company work shirts, hoodies, and office polos
-
Track and organize vendor, employee, and apparel files
-
Enter new vendors into the system
-
Process Accounts Payable from multiple sources, including email, mail, Uline, FedEx, and FedEx Freight
-
Prepare and send checks; file bills appropriately
-
Maintain organized vendor and employee files
-
Assist with state tax return documentation as needed
Qualifications

Strong verbal and written communication skills

Excellent organizational skills and attention to detail

Ability to multitask and prioritize in a fast-paced office environment

Proficiency with basic office technology and systems

Schedule & Pay

Schedule: 7:30am-4:00pm

Pay Rate: $19-$20
