Job Summary: REMOTE

We are seeking a highly organized and experienced Administrative Assistant to provide comprehensive support to senior and executive management. This role requires exceptional organizational, communication, and multitasking skills, as well as the ability to work independently in a fast-paced, professional environment. The ideal candidate will have a proven track record of supporting high-level executives and handling sensitive and confidential information with discretion.

Key Responsibilities:

  • Perform daily administrative tasks such as managing emails and phone calls, ordering supplies, and maintaining filing systems.

  • Coordinate and arrange complex domestic and international travel, including itineraries, accommodations, and expense reports.

  • Manage executive calendars, schedule meetings, and organize conference calls (telephone/video), ensuring seamless logistics.

  • Prepare reports, letters, memos, and spreadsheets, as well as create and assemble presentations and meeting materials.

  • Interact professionally with members of the Executive Management Committee and other executive assistants.

  • Take and track meeting notes, ensuring follow-up on action items and staff implementation of executive decisions.

  • Review outgoing correspondence for accuracy and policy compliance before submitting for executive approval.

  • Screen and prioritize incoming mail, flagging key items for executive attention.

  • Participate in and support special projects and perform additional duties as assigned.

  • Ensure all tasks are completed in compliance with company policies, procedures, and global business standards.

Required Qualifications:

  • Minimum of 2 years of experience as an executive or senior-level administrative assistant.

  • Advanced proficiency in Microsoft Word, Excel, and PowerPoint.

  • Excellent written and verbal communication skills, with professional phone etiquette.

  • Strong interpersonal skills and ability to work effectively across all levels of the organization.

  • Exceptional organizational abilities and attention to detail.

  • Proven ability to multitask, prioritize responsibilities, and follow through with minimal supervision.

  • High level of discretion, sound judgment, and ability to handle confidential information appropriately.

  • Experience in preparing executive-level reports and presentations.

  • Shorthand skills are a plus but not required.
