Job Description


The Loan Operations Specialist is responsible for supporting the day-to-day functions of the loan servicing department. This role ensures accurate loan processing, recordkeeping, and compliance with internal and regulatory requirements.

Key responsibilities include:

  • Review and complete daily loan system reports to confirm accurate payment postings, address exceptions, and verify loan data integrity.

  • Monitor and update tickler reports to track collateral insurance and other critical items, including the receipt of collateral documentation.

  • Accurately board new loans onto the loan system, ensuring all relevant fields (ticklers, flex date fields, addenda, etc.) are correctly populated.

  • Disburse loan proceeds and applicable fees in accordance with the Disbursement Authorization.

  • Prepare loan modification documentation using Laser Pro, as assigned by the Supervisor.

  • Secure collateral and related documentation in safekeeping files and maintain organized credit and non-negotiable document files.

  • Process loan payments, draws, and advances—including construction advances—according to established procedures.

  • Handle Participation loan payments and advances, forwarding funds to the appropriate participant per the Participation Certificate.

  • Maintain loan system records, which may include reconciling loan activity, preparing general ledger entries, verifying data input, and correcting errors.

  • Keep credit files current and manage file systems related to document retention and storage.

  • Sort, copy, file, and distribute incoming loan-related mail.

  • Provide accurate loan balance, payoff, and payment information to customers, loan officers, and processors upon request.

  • Process paid loans by issuing customer notifications and releasing collateral.

  • Respond to payoff demands (notifying the Loan Officer upon receipt) and customer inquiries.

  • Research and resolve exceptions identified by loan officers and processors.

  • Respond to credit verification and payoff information requests from third parties.

  • May assist in processing charge-offs and non-accrual loans while maintaining accurate billing and records.
Requirements
REQUIRED SKILLS AND ABILITIES:
  • Computer skills to include use of Microsoft Office products, Laser Pro and other programs as required.
  • Strong mathematical ability.
  • Strong analytical skills, time management, and organizational skills. Ability to handle detail-oriented transactions.
  • Excellent written and verbal communication skills, attention to detail and follow-through.
  • Outstanding interpersonal skills, dedication to teamwork, and enjoys working closely with others.
  • Ability to interact with coworkers, follow directions and work rules, and accept constructive feedback.

Education/Licenses/Work Experience
  • High school diploma or GED equivalent required.
  • Three to five years’ experience in banking/lending.
  • Experience in a Note Department of a commercial bank, preferred.
